But for most outbound call centers running 30 or more seats, the “simplicity” of hosted dialers comes at a price that gets buried in add-on fees, per-minute telecom charges, multi-year contracts, and auto-renewal traps that make cable companies look transparent.

The Lie That Hosted Is “Easier”

Yes, hosted means someone else manages the infrastructure. You don’t provision servers. You don’t patch Asterisk. You don’t tune MariaDB. That is a real benefit, and it has real value.
But “simple” does not mean “cheap,” and it does not mean “hassle-free.”
Here is what hosted platform customers actually deal with:
- Opaque pricing. Convoso, NICE, and Genesys do not publish their real per-seat costs. You have to talk to sales, get a quote, and negotiate --- all before you know if the platform fits your budget.
- Per-minute telecom stacking. Most platforms charge seat licenses plus per-minute voice fees plus SMS fees plus carrier surcharges. The published seat price is the starting line, not the finish.
- Feature gatekeeping. Workforce management, quality management, advanced analytics, AI transcription --- all locked behind higher tiers or sold as per-seat add-ons. Five9’s WFM is only available on the Optimum tier ($200+/seat). Genesys charges 55% more for CX 4 vs CX 3.
- Contract lock-in. Five9 requires a 36-month contract that auto-renews for the same term length unless you email their billing team 30 days before renewal. Miss that window and you are locked for another three years.
- Data hostage risk. Most platforms make it difficult to export call recordings, customer data, and campaign configurations. Migrating away requires significant effort and potential data loss.
Self-hosted VICIdial has its own costs --- and we will be honest about every one of them. But you should walk into the hosted vs self-hosted decision with clear eyes about what “managed simplicity” actually costs.
What Hosted Dialers Actually Charge: Platform by Platform

Five9 --- The Enterprise Default
Five9 is the name that comes up in every RFP. Their published pricing starts at $119/seat for Core voice-only, but internal estimates put the actual tier most call centers need at $159/seat.

Convoso --- Outbound Specialist, Opaque Pricing
Convoso is built for outbound and does it well. But their pricing model is aggressively opaque: custom quotes only, with per-agent and per-minute billing on top.

NICE publishes their pricing more transparently than most enterprise platforms. Their voice-only tier starts at $94/seat, scaling to $249/seat for the Ultimate Suite with full AI automation.

GoHighLevel --- Not a Call Center

Ranges wildly by platform: CallTools and ReadyMode charge minimal to nothing. Five9 reportedly charges $5,000+. Genesys runs $5,000-$100,000 depending on complexity. The Auto-Renewal Trap
Five9 auto-renews for the same contract length (potentially another 36 months) unless you email their billing department 30 days before the renewal date. Industry-wide, 10-20% price increases at renewal are common. Early termination fees run 50-75% of remaining contract value.

The 100-agent bump is real and worth understanding. At 50 seats, you are using a part-time contractor for admin work. At 100 seats, you need a full-time hire --- and that full-time salary doesn’t get cheaper because you have exactly 100 agents instead of 200. At 20 agents, VICIdial still wins, but the margin is thinner. The admin cost per agent is relatively high ($37.50/agent) because you are still paying a contractor for 10 hours a month whether you have 15 agents or 25. The 100-agent range is the awkward middle ground. You are paying enterprise-grade admin costs but still at mid-market scale. If you are going to self-host at 100 agents, you need that sysadmin to be genuinely good --- someone who can tune MariaDB, manage carrier failover, and keep the cluster running at 99.9%+ uptime. A mediocre admin at this scale costs you more in downtime than the salary savings.

Carrier Arbitrage
With VICIdial, you buy SIP trunking at wholesale rates. VoIP.ms charges $0.01/minute on premium routes. Flowroute charges $0.00833/minute. Telnyx starts at $0.002/minute for volume accounts.
Hosted platforms mark those same carrier rates up 2-5x and bundle them into your seat price or charge them as “telecom fees.” You cannot shop around. You cannot switch carriers if your answer rates drop. You cannot negotiate volume discounts directly with the carrier.
With VICIdial, switching carriers or adding a failover route is a 5-minute config change in the admin panel --- set up a new carrier entry, point it at your SIP provider’s endpoint, set the dial prefix and codec, and assign it to campaigns. No Contract Lock-In
Five9 locks you into 36-month contracts with auto-renewal. Most hosted platforms require annual commitments with early termination fees of 50-75% of remaining contract value.
VICIdial has no contract. You own the servers. You own the data. You own the recordings. If you want to switch carriers tomorrow, you change a SIP trunk config and restart Asterisk. If you want to add 20 seats next week, you spin up another dialer server. If you want to shut down next month, you cancel the hosting and walk away.

Dialer Algorithm Control
VICIdial gives you direct control over predictive dialer ratios, hopper sizes, call timing, retry intervals, and every parameter that affects contact rate. Hosted platforms give you dropdown menus with preset options.

When Hosted Wins (And When It Doesn’t)
We are not going to pretend self-hosted VICIdial is the right answer for everyone. This is a business decision, not a technology religion.
Choose hosted if:
- Under 30 agents with no Linux expertise. ReadyMode at $5,000-$7,200/month or CallTools at $5,871-$6,771/month gives you a working dialer without the infrastructure headache. VICIdial at 15-20 agents costs $2,000-$2,800/month but requires ongoing technical management that may not be worth the savings.
- You need to scale unpredictably. Going from 20 to 200 agents next month is a phone call with a hosted provider. With VICIdial, it is a multi-day infrastructure project.
- Compliance certifications are non-negotiable. Five9 and NICE already have HIPAA, PCI-DSS, and SOC 2. Building that on self-hosted adds complexity and audit costs.
- You need omnichannel beyond voice and SMS. VICIdial handles calls, SMS, and email. Webchat, social messaging, and video in a unified agent interface? That is Genesys or NICE territory.
Choose self-hosted VICIdial if:
- 50+ agents with stable or growing volume. This is VICIdial’s sweet spot. At 50 agents, you save $248,000 over three years versus Five9. Three servers, one part-time contractor, done.
- Outbound-heavy operations where contact rate drives revenue. Direct control over dialer ratios, hopper sizes, call timing, and retry intervals beats any hosted platform’s dropdown menus.
- You want cost predictability. Hosted platforms raise prices 10-20% at renewal. VICIdial’s costs are server hosting (predictable), telecom (market-rate), and admin (you set the salary). No surprise invoices, no account rep calling to “discuss your renewal pricing.”
- Remote or multi-location agents. VICIdial’s web-based agent interface works from any browser. No per-seat remote access fees. WebRTC softphone options (Zoiper, $42/seat one-time) give you browser-based calling without monthly per-agent charges.
The awkward middle (30-50 agents): Run the numbers for your specific operation. VICIdial usually wins on cost but the margin is thin enough that a bad admin hire can erase the savings.
The Bottom Line
